The National Society for Education, Mentoring and Media (NSEMM), a charitable incorporated organisation (charity number 1209673), is the controller of the personal information described here. Our ICO registration number is ZC161181. This is our only privacy notice. It covers families, pupils, tutors, staff, volunteers, job applicants, donors, referrers and visitors to our websites.
In short
- We collect what we need to arrange and run tutoring and mentoring, keep children safe, pay our tutors and staff, take payments and donations, and run the charity.
- We never sell your information and never use it for advertising.
- What a family pays is private. Only the person who pays, our administrators, finance staff and the Fund officer see it. Tutors, pupils, volunteers and other staff never do.
- Help with the cost. If you ask our Community Education Fund for help, we ask about your household’s money and check documents. A person confirms every amount. Your detailed answers and documents are deleted 28 days after we tell you our decision.
- Lessons are recorded to keep children safe and to check teaching quality. LessonSpace deletes the recording 90 days after the lesson. We keep the written transcript and summary while your family has lessons or an open application with us, and delete them 90 days after you leave, unless they are needed for a safeguarding concern.
- Safeguarding comes first. If we are worried a child is at risk of harm, we may share information with the right people without asking first, as the law allows.
- We keep information only as long as our Data Retention Schedule says, then delete it or make it anonymous.
- You have rights, including to see a copy of your information. Our data protection lead is our Chief Executive Officer: [email protected]
What we hold, why, and for how long
“Retention” points to the row of the same name in our Data Retention Schedule, which has the full detail.
| What | Why | Lawful basis | How long | Who sees it |
|---|---|---|---|---|
| Enquiries and applications: parent or carer contact details, the child’s name, date of birth, year group, school, how they are educated, subjects and goals | To understand what you need and offer a place with a tutor | Contract (steps before an agreement); legitimate interests | No lessons: 2 years from last contact. Lessons: 6 years after the financial year of the last lesson or payment (rows F2, F3) | Our staff who arrange tutoring |
| Support needs a family chooses to tell us (learning needs, disability, health) | To make lessons work for the child | Explicit consent, which you can withdraw | While your family is with us (lessons or an open application), then 12 months after you leave (F5) | Staff who arrange tutoring; the tutor sees only a short summary of what helps |
| Lessons: bookings, attendance, lesson notes, progress, homework, messages in our platform | To run lessons, track progress and keep a record | Contract; legitimate interests | 6 years after the financial year of the last lesson (F3); messages 3 years (F9) | The tutor, the family, our staff |
| Lesson ratings and family check-ins: a 1 to 5 star rating and an optional comment after a lesson; short check-in answers (a choice from five, or a short comment) from the parent or carer and from each child; who answered and how (online, or by phone with our staff) | To look after the quality of lessons, improve how we run NSEMM, and show funders and trustees, in totals, what changed for children. For Fund places, the start and end check-ins are also part of the Fund agreement | Legitimate interests. Asking for ratings and check-ins, and counting them (never naming a child), is how we improve lessons and show the difference our tutoring makes | 6 years after the end of the financial year the account closed (F12) | Comments: our leads only. A tutor sees only their own overall scores, after talking them through with their lead. Reports use totals only |
| Lesson recordings, transcripts and summaries | To keep children safe and check teaching quality | Legitimate interests; safeguarding | Recordings: 90 days from the lesson (deleted by LessonSpace). Transcripts and summaries: while your family is with us, then 90 days after you leave, unless linked to a safeguarding concern (F7, F8) | Authorised staff only. Families can ask to see their child’s recording |
| Help with the cost (Community Education Fund), step 1: your rough monthly take-home income. We keep only the £500 range, never the figure. Optional | To check the Fund reaches the families it is for, and to plan it. On its own it never sets what you pay | Legitimate interests | With the application (C1) | Admin, finance, Fund officer; reports use totals only |
| Help with the cost, step 2: who lives in your home (number of adults, children’s ages), money coming in, rent or mortgage, four circumstance questions, reasons for asking to pay less, and documents such as 3 months of payslips or a Universal Credit statement | To work out your hourly amount with our published rule and check it against evidence | Legitimate interests. Health or disability reasons: explicit consent | Deleted 28 days after we tell you our decision, or when a review is decided (C2) | The Fund officer and the person deciding; a second checker for 1 decision in 10 |
| Full Bursary: for families in the deepest hardship we may pay for the first 12 lessons in full. A member of our team checks evidence for one reason that applies to you, for example a letter about your temporary accommodation, a Home Office document showing no recourse to public funds, your asylum support letter or ASPEN card, or your Pension Credit award letter. We keep only which reason applied, the type of document checked (never a copy or any figures from it), who decided, when and why | To decide whether to pay for the first 12 lessons in full. We use these documents only to make this decision | Legitimate interests | Documents deleted 28 days after we decide, or until an appeal is decided (C8). The record of the decision: 6 years after the financial year of the last payment (C9) | Admin, finance, Fund officer |
| Fund outcome: your confirmed amount, the rule version, the type of evidence checked, the date, who decided; your offer and Fund agreement documents (PDF) | It is the agreement for your child’s tutoring and a financial record | Contract; legal obligation (charity accounting records) | 6 years after the financial year of the last payment (C3) | You (in your portal), admin, finance, Fund officer |
| Priority score for funded places (see “Decisions made with rules”) | To decide fairly who is offered a funded place first | Legitimate interests. Special educational needs or disability only with explicit consent | While the application is open (C7) | Staff only. Staff who do not deal with money see only High, Medium or Low |
| Professional referrals: the referrer’s name, role, organisation and work email, and the family’s agreement | To check the referral is genuine and tell the referrer when funded sessions start and end | Legitimate interests | With the award, 6 years (C6) | Admin, Fund officer. We never tell a referrer what a family pays |
| Payments and invoices | To take payment and keep accounts | Contract; legal obligation | 6 years after the financial year (M1) | The payer, finance staff |
| Calls, voicemail and texts: your number, call times, recordings, voicemail and its written transcript, text messages | To answer calls, return messages and keep a record | Legitimate interests | Recordings, voicemail and transcripts 90 days after our last contact with you, unless needed for a safeguarding concern; call and text records 2 years (P1, P2) | Staff who handle calls; the safeguarding lead if a concern is raised |
| Address finder: the postcode or start of the address you type | To suggest your address | Legitimate interests | Not stored. We keep only the address you choose | Ideal Postcodes and Google receive what you type |
| Safeguarding: concerns, reports, case records, a possible child missing education, consent to pass details to another service, recordings kept as evidence | To protect children and meet our legal duties | Safeguarding of children (Data Protection Act 2018, Schedule 1, paragraph 18); legal obligation | Until the child is 25, or 6 years after the case closes, whichever is longer (S1) | The safeguarding lead and deputies only |
| Pupils at partner schools | To run the tutoring the school arranged | The school is the controller; we act for the school, except for safeguarding, where we act in our own right | Login removed 12 months after the programme ends (F10) | The tutor, the school’s named contact, our staff |
| Tutors, staff, volunteers and applicants: application, references, right to work, DBS details, training, contracts, pay, supervision, lesson logs, HR notes | To recruit safely, employ or engage you, pay you and meet our legal duties | Contract; legal obligation; legitimate interests; safeguarding | Not hired: 6 months. Others: 6 years after you leave (H1 to H7) | HR, finance and your manager |
| Donors: name, contact details, donations, Gift Aid declarations | To process donations, claim Gift Aid and thank you | Contract; legal obligation (Gift Aid); consent for marketing | 6 years after the financial year (M2) | Finance staff |
| Newsletters | To send news you asked for | Consent | Until you unsubscribe (O1) | Communications staff |
| Website visits, sign-in and security logs | To keep our systems secure and working | Legitimate interests | Security logs 2 years; error reports 90 days (O3, O4) | IT staff |
| Requests about your information and complaints | To answer them and show we did | Legal obligation | 6 years after we finish (O6) | The data protection lead |

Lesson ratings and check-ins
After a lesson we invite you to rate it with one tap, and you can add a comment if you want to. We also ask families for a short check-in: after the second lesson, in late November, in late February, in June (not for pupils in Years 11 and 13, who have exams), and when tutoring ends. There is one form for the family, with a part for the parent or carer and a part for each child, which the child can also fill in from their own Learn login. Each answer is a choice from five (for example from “Not at all” to “Definitely”) or a short comment. The child’s part asks how the lessons are going and how they feel about school work; the parent’s part asks how much the lessons are helping, how confident each child is, and a few questions about NSEMM.
Check-ins are optional, and you can skip any question. Nothing you say changes your tutor, your lessons or your place with us. For places funded by our Community Education Fund, the start and end check-ins are part of the Fund agreement: the parent’s part is needed and the child’s part is strongly encouraged, but your answers still never affect your place. If it is easier, a member of our family liaison team can go through it with you by phone; we then record that the answers were given by phone with them, and a child’s part is only filled in this way if the child gives the answers on the call.
We use the answers to look after the quality of lessons, to improve how we run NSEMM, and to see, in totals, whether lessons are making a difference, so we can show our funders and trustees what changed for children. Tutors never see what any one person said: they see their own overall scores only after talking them through with their lead. Comments are read only by our leads. We report totals only, never a child’s name, and we do not report a group of fewer than five.
If a check-in is open, you will see it on your To do list and your Learn home page. For the optional check-ins we do not email you. For the start and end check-ins of a Fund place we send at most three reminders while it is open (on the day it opens, 4 days later and 10 days later), following your email preferences, and then a member of our team may phone to offer to go through it with you. Nobody loses lessons for not filling it in.
Decisions made with rules
- Your Fund amount. A published rule (in our Community Education Fund Access Policy) compares what your household has left each week after rent or mortgage with the Minimum Income Standard and suggests an amount between £5 and £18 an hour. A person checks your evidence and confirms every amount before you are charged it.
- Priority score. When there are more families than funded places, we put applications in order using: financial need, a child who is looked after or a care leaver, exams soon, time waiting, a professional referral, special educational needs or disability (only with your consent), missing school or at risk of exclusion, and a brother or sister already with us. We never use area, ethnicity, religion, nationality, sex, gender identity, sexual orientation, pregnancy, marriage or first language. A person makes every offer. The score never changes what you pay.
- Rules applied straight away. Fund help is not offered for children in Year 5 or below, for elective home education, or for independent schools. If an answer we hold is wrong, tell us and a person will check it.
- Your right to a person’s review. You can ask a person to look again at any Fund decision within 28 days, give your view and challenge it. A different person decides a second review.
- Safety checks. Our systems look for words that may show a child is at risk and flag them to the safeguarding lead. They decide nothing on their own.
Safeguarding and onward support
If an application says a child of compulsory school age is not in education, our safeguarding lead is told so they can check the child is safe; we tell the family. If we cannot offer a place, we may give you details of other organisations; we do not send them your information. If another service could help more, our safeguarding lead may ask, through your portal, whether you agree to us passing on your details, and a person does it only if you agree. None of this changes what happens if a child may be at risk of harm: then we follow our Safeguarding Policy.
Who we share information with
We use these organisations to run our services. Each acts on our instructions under a contract.
| Organisation | What for |
|---|---|
| LessonSpace | Online lessons, recordings, transcripts and summaries (LessonSpace uses its own transcription service to make them) |

| Brevo | Sending emails |
| Twilio | Phone calls, voicemail, voicemail transcription and text messages |
| Stripe | Card payments and donations |
| FreeAgent | Accounts, invoices and payroll records |
| Ideal Postcodes, Google (Places), postcodes.io | Address finder and postcode checks |
| Cloudflare | Website protection and the spam check on our forms |
| Sentry | Error reports from our systems (personal details are removed first) |
| Slack | Staff alerts (no family names or contact details) |
| Hetzner | Our servers and backups (UK and EU) |
| Krystal | Hosting our public website |
| Anthropic | Sorting bank transactions in our accounts, tagging teaching resources, and drafting reports from anonymous figures. It may not use our data to train its models |
We also share information when the law requires it, with the police, social care or other agencies to protect a child, and with a referrer as described above. Partner schools see their own pupils’ attendance, lesson notes and group chat.
Information sent outside the UK
Some of these organisations, or their suppliers, are based in or can access data from the United States, the EU or South Africa (LessonSpace). Where that happens, it is protected by UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
Your rights
You can ask us to:
- give you a copy of your information (including how a Fund amount was worked out and any priority score);
- correct it, delete it, or limit how we use it;
- stop using it where we rely on legitimate interests, or for marketing at any time;
- give it to you in a format you can reuse;
- have a person look again at a decision made with rules.
Where we rely on consent, you can withdraw it at any time, in your portal or by email. If you withdraw consent for health information, we delete it, remove any health reason from a request to pay less, and stop counting special educational needs in the order for funded places. Young people can ask about their own information. We usually answer within one month, free of charge. We may need to check who you are. Some information, such as safeguarding records, may have to be kept even if you ask us to delete it.
